The Covid-19 Policy and terms and conditions of Westend Academy will be issued on registration of a student, payment of fees is made as an agreement to these terms and conditions.
If for any reason the WEA terms and conditions are not agreed and fee payment is not received then this will result in the student being unable to attend classes at Westend Academy.

COVID-19 POLICY

PARENTS AND CHILDREN BEFORE ARRIVING TO CLASS.
Parents should take their children’s temperatures before each class and should NOT attend classes if they have a temperature.
Parents must explain and ensure their children understand social distancing before they attend class.
If a child feels unwell with any form of illness they should not be brought to class.
Children should bring all their belongings in one clearly labelled backpack that they are able to carry unaided & arrive dressed in their dance uniform.
Children should bring: a large, filled water bottle. Where possible, it should be clearly labelled.

ARRIVAL AT CLASS
Registration will be carried out on mobile devices and all interaction will be contactless.
Only one parent should be present for drop off outside the studio. Social distancing must be observed if entering the premises.
Hand sanitiser and signs on hygiene will be visible and available on entry.
Parents MUST drop children off at their allocated time to ensure social distancing can be fully observed and children are able to go straight to their class.
Students over 11 years old attending classes must use drawers for their belongings in the changing rooms, put all items including shoes, bags and coats neatly inside the drawers. Drawers will be disinfected after use by a member of staff.

ENTRANCE AND EXIT AT WESTEND ACADEMY
Each class will have a set base where the children will be sent on arrival and dismissed from at the end of the class.
All students will arrive through the FRONT door and exit and be collected at the SIDE door. Doors will be locked while classes are in progress.
Parents will NOT be permitted in the building at any time – with the exception of uniform fittings (available by appointment only)

ACTIVITIES
Only necessary equipment will be used.
Both WEA Studios will be used, all indoor areas will be kept well-ventilated with windows kept open where possible.
All activities will be carried out following social distancing guidelines for students over 11 years old and adults.
Children will wash their hands after each activity using the hand sanitiser provided by WEA.
The WEA teachers will clean down all equipment used at the end of an activity and class.

HYGIENE
There are 4 hand sanitising stations positioned at the entrances and exits of the building and into both studio’s
There will be ‘hygiene stations’ for students to access on entry, during and after class. This will include: a rubbish bin, tissues, hand sanitiser.
WEA will also carry a supply of PPE (disposable gloves and masks) if they need to come into close contact with a child for medical purposes.
Used tissues are to be placed immediately in bins which will be bagged and emptied regularly throughout the day.
Students will only be allowed to go to the toilet one at a time. A member of staff will ensure that toilets are cleaned after use.
Children should wash their hands at regular intervals.

CLEANING
Contact points, such as door handles, ballet barres and handrails, will be cleaned throughout the day.
All equipment wiped down at the end of the day.
Specialised UV sanitising lamps will be used at the start and end of each working day in both studios.

IF A STUDENT PRESENTS SYMPTOMS DURING CLASS
The student will be taken to a specified area and the parents
called to collect from class.
If the class is indoors when a student presents symptoms, the group will be moved to another room or outdoors and the room deep-cleaned.
The parents of children in class will be advised of a possible case via ‘track and trace’ and if a case is confirmed, we will follow Government guidance.

COLLECTION AT THE END OF CLASS
Only one parent should be present for the collection of pupils at the side door of WEA.
Social distancing should be observed when queuing for collection around the courtyard area, leaving the driveway clear for pupils and parents exit.
Parents MUST only collect children at their allocated time to ensure social distancing can be fully observed and children are able to leave straight from their classes.

BOOKING POLICY
Westend Academy will endeavor to run the course in-person, however the safety of our students and staff is our top priority and we will always follow government guidance. If the guidance changes and does not allow an in-person course, then we will deliver the course online via Zoom and return to the studio when allowed. The term fee covers all of these classes and no refund is available in cases of absence in studio lessons or lessons held via Zoom online.
If a student or member of their household tests positive for COVID-19 while the course is running, you will need to notify us immediately and that student will no longer be able to attend on-site during their 14 day isolation period, the option of continuing their classes via zoom is available, if well enough. The students place in classes will be held as fees will have been paid to secure their place in that term. If fees have not been paid by the start of the term, children will not be permitted to attend classes.
In the event of a student testing positive for COVID-19 within 14 days of taking part in our courses, at any time throughout the term you must notify Westend Academyimmediately and include our organisation within your track and trace submission
- WESTEND ACADEMY TERMS AND CONDITIONS (T&C’S)
- Payments will be returned if a class must be cancelled due to minimum numbers not being achieved, unless transfer to another class in an option and is decided upon and paid for.
- Westend Academy or any of their staff cannot be held responsible for any loss or injury during class times.
- Westend Academy reserve the right to remove students from our programme – without refund – anyone who is found to be bullying, misbehaving or displaying disruptive behaviour.
- Medical conditions must be declared for any student, child or adult, during registration and keep us up to date should this change, by email / calling us at info@westendacademy.co.ukor 01248 361306/07791251827
- Parents/Guardians must declare if you do not wish for your child to be involved in photographs or videos for marketing purposes and keep us up to date should this change using the given email address or phone numbers.
- Your booking is not confirmed until payment has been received, paid for spaces will be given priority.
- All fee invoices must be paid within two weeks of the invoice being issued; late payment will incur a £10 charge without prior arrangement
- If full fee payment has not been received by the start of the term, children will not be permitted to attend classes (not including direct debit payments specially arranged)
- Payment methods are: Direct Debit / Bank Transfer / Debit or Credit card over the phone (please note: any payments via the classforkids payment system will incur a platform fee)
- You must refrain from any student attending class if they have had any form of illness within 48 hours of the class (*PLEASE SEE GUIDELINES ATTACHED REGARDING COVID-19)
- We DO NOT issue refunds for missed sessions due to your own circumstances.
- Once fee payment has been made for any term, the student’s space is saved by that payment, therefore NO refunds can be issued under any circumstances
- If there are any sessions cancelled due to typical bad weather or teacher illness etc, Westend Academy will offer a replacement session or parents will be refunded if no replacement session can be arranged by the Principal.
- Uniform is COMPULSORY for all pupils and unique to buy from the in-house shop at Westend Academy (adult classes)
- Junior Stage School, Musical Theatre and Drama class fees will include and additional £5 charge per term for their class packs (including Lyrics / CD’s / Scripts etc) All new pupils will receive a Westend Academy folder for these classes on registration, if folders need to be replaced due to loss or damage then these are chargeable at a cost of £2.
- Discounts offered: Sibling Discount up to the age of 16 years old
- Summer School – If a child was in isolation the week of Summer School, we would accommodate the child via Zoom for all lessons during the summer school and their goody bag and certificate, of course they would still receive, once their isolation period was over. (Proof of Isolation letter would be required)
If a lockdown was put in place, then the ’Summer’ School would be postponed to future date out of lockdown…whether that be later in the summer holidays or in the October half term break for example…this would obviously be judged by the situation at the time and along with the advice that we get from the Department of Health who we work very closely with.
As places are limited, as it states in the description, refunds are not available once bookings are made, unfortunately this includes in the event of sickness.
Running a summer school of this size throughout the week and with so much organisation, hours of choreography, so many members of staff, bills to pay and insurances to cover, along with items in their goody bags etc, this is all organised in advance and working on minimum numbers makes it even harder throughout covid, as I’m sure you can imagine, all of these outgoings have to be covered by the confirmed booking of the students, without this, the summer school simply couldn’t go ahead.
